This article describes how to view, approve, and send back absence entries for direct reports.
Steps
Review absence requests from "My Tasks"
- After logging into Workday, click the My Tasks icon in the top right corner of the homepage
- Review each absence entry. "Absence Request" is a new request from a worker, and "Absence Correction" is a change to an existing request, initiated by the worker
- Scroll down and scroll right to view more information, as needed
- Click the View Balances button to view the worker’s time off balance
- To approve the entered time, click Approve
- If there is something the employee needs to revise, select Send Back, and enter a Reason that explains the issue to the worker. The event will be sent back to the team member to modify and resubmit for review.
- Use Deny sparingly, as it terminates the process, and requires the worker to recreate the entry
- If you want to close the unfinished task and return to it later, click the three dots icon (⋯) and then select the Close option
- Once you Approve a worker’s time and see the "Success!" confirmation message, it has been sent for payroll processing.
- Note: Workers can still edit approved absence entries. They will be prompted to re-submit to the manager for review and approval.
View your team’s absence calendar
- From the Workday home screen, click the Global Navigation Menu in the top left to open the Workday Apps sidebar. Select the Time and Absence app
- Under the "Tasks" section, click on More to expand the full set of options. Then click on "Time Off & Leave Calendar"
- A one-month calendar will open, showing all absence entries for workers on your team
- The following tools are available to you:
- Use the arrows on the left side of the calendar, near the month name, to navigate to a different month
- Click on the word "Month" on the right side of the screen to switch between day, week, and month views
- Click on any absence to view more information about the request
