A beneficiary is someone who will receive the proceeds or benefits of your insurance policy. All Mount Holyoke employees are encouraged to review and update their current beneficiary choices in Workday.
Steps
Add a new beneficiary from the Benefits & Pay app
- After logging into Workday, open the Global Navigation Menu and select the Benefits & Pay app
- When you first open the Benefits & Pay app, the navigation sidebar may be closed. Click the "expand" icon, circled in the image below, to open the sidebar and view all sections
- In the sidebar menu, click Benefits and then "Beneficiaries"
- Click Add to add new beneficiaries
- Select from the options provided
- Existing Dependent or Emergency Contact
- Update your emergency contacts in Workday
- Create a New Beneficiary
- Create a New Trust as Beneficiary
- Click OK
- Enter your beneficiary's information. Legal name, relationship, and address fields are required.
- Click Submit
Edit existing beneficiaries from the Benefits & Pay app
- Open the Benefits and Pay app as described above
- Navigate to the Benefits menu and select "Beneficiaries"
- Click the Edit button
- Make changes following the same instructions as above
Change your beneficiary for a specific benefit
You can add or change beneficiary designations for a given benefit, such as life insurance. To do so, follow the steps below.
- Open the Benefits and Pay app as described above
- Click the Change Benefits button
- In the drop down menu, select "Change Beneficiary"
- Enter a date the changes should be effective (this is usually today date)
- You do not need to attach documentation for a change fo beneficiaries, so click Submit
- You will see a pop-up confirmation message. Click Open on this message to start the change process
- Note: If you close the pop-up, there are two ways you can get back to the task
- Open the Benefits & Pay app and click the Enroll button associated with the beneficiary task, then click Let's Get Started
- Open My Tasks, select the beneficiary task, and click Let's Get Started
- On the next screen, click the Manage button under the benefit you would like to update
- Click the Confirm and Continue button
- Click gray the plus button (➕) under "Primary Beneficiaries" or "Secondary Beneficiaries" to add a new beneficiary
- Follow the relevant prompts to add an existing beneficiary, add an existing trust, or add a new beneficiary or trust
- Indicate the percentage of benefits you wish to grant to your chosen beneficiary(ies) or trust(s)
- Note: Percentage must total 100% across all beneficiaries in order to save your choices
- Click Save
- Repeat these steps until you have entered all your beneficiary choices. You may select Save for Later if you want to save the task and complete it later.
- When you are ready to submit your choices, click the orange Review and Sign button
- Review your choices. Read the legal notice. Click the "I Accept" checkbox to add your electronic signature
- Click the orange Submit button
- You may view a copy of your choices by selecting the "View 2024 Benefits Statement" button. Click Print on the bottom of the next screen to generate a PDF that can be saved to your device or printed
Add a beneficiary during a benefits change
Beneficiaries can be added during a benefits change for a qualifying life event or during open enrollment. If you are already modifying your benefits, look for the prompt
- Open the Benefits and Pay app as described above
- Click the Change Benefits button
- Navigate through the benefit options.
- If you add a new dependent, you will be provided the option to add them as a beneficiary. Click the checkbox labeled "Use as Beneficiary" and click OK when complete.
