Faculty & staff: Update your personal information in Workday (including legal and chosen name)

Steps

Change your chosen or legal name

  • After logging into Workday, click the worker icon at the top right corner, then click on the View Profile button

  • On the left side of the screen, you will see a blue Worker Profile sidebar. Click the Personal button in that sidebar. You may need to click on "More" to reveal this option. 
  • On the next screen, you will see several tabs across the top of the screen. This section opens to the "Personal Information" tab by default. Click the Names tab to open the names screen.
  • Several frames are present on this screen: Legal Name, Preferred Name, and Name Change History. Click the Edit button in a field to make changes. 
    • Note: The Workday system does not use language consistent with Mount Holyoke's Chosen Name Policy. Workday uses the term “preferred name” to refer to what Mount Holyoke regards as an individual’s chosen name. We have expressed our concerns to the external Workday development team and will continue to advocate that they allow organizations to edit the display name of this system field. 
  • For changes to chosen names:
    • A dialogue box will appear. You may need to un-check the blue box labeled "Use Legal Name as Preferred Name" to make fields editable. Complete the fields to reflect your changes. Click Submit. Your name change will be updated in Workday immediately.
  • For changes to legal names:
    • A dialogue box will appear.  Enter the effective date and updated your name information in the appropriate fields. Be sure to attach supporting documentation, which is required to process the name change. Click Submit. Your name change will be updated in Workday when the approval process is complete.

 

Update personal information

  • After logging into Workday, click the worker icon at the top right corner, then click on the View Profile button
  • Your Worker Profile contains your personal and contact information as well as information about your position. If you are a manager, you will also see links to view information about your team.
  • On the left side of the screen, you will see a sidebar with many labeled buttons. To update your Personal Info, click the Personal button. You may need to click on "More" to reveal this option. 
  • On the next screen, you will see several tabs across the top of the screen. This section opens to the Personal Information tab by default. The Personal section contains your personal details, including your date of birth, national ID (e.g., Social Security Number), ethnicity, and citizenship information.

  • To make changes to this information, click the Edit button 
  • On the Edit screen, use the pencil icon (🖉) in each section to make changes to your data. Click the checkmark icon (✔)  after each edit. When you are finished, click Submit.
    • Note: Some personal data, such as citizenship status, may require you to present supporting documentation to Human Resources within 3 business days, in order to complete the change. Once the information submission goes through the required approvals, the updated information will be added to your profile
