Users must be a departmental administrator for MHCDrive in order to be able to use these instructions.
Overview
Users who are set up as departmental administrators for MHCDrive have the ability to manage folders and sharing in their department's MHCDrive folders. This article explains how to manage sharing and permissions in MHCDrive as a departmental administrator.
Understand MHCDrive's top line folder structure
Each department's MHCDrive is made up of these three main folders:
- All staff
- All members of the department can view, create, edit, and delete content in this folder. This access is granted automatically based on department affiliation.
- Permissions are set by default and cannot be changed by the departmental administrator(s).
- Restricted
- To be used within the department for documents that not everyone in the department should be able to see or modify.
- Departmental administrators have full administrative control over access and permissions in this folder. However, only users within the department may be granted access to folders within the Restricted folder. See instructions below for managing permissions.
- Shared Projects
- To be used for projects shared with other departments.
- Departmental administrators have full administrative control over access and permissions in this folder. See instructions below for managing permissions.
Adding users to the Restricted or Shared Projects folders
Before you Start, you'll need:
- If the folder you want to share doesn't already exist, first create a new one
- Inside either the Restricted or Shared Projects folder, right click and choose new folder
- Name the folder
- Right click on the folder
- Choose Properties and then select the Security tab along the top
- Select Advanced located at the bottom of the window
- Select Disable inheritance and Convert inherited permissions into explicit permissions on this object
- Choose Add and Select a principal
- Type the username of the person you wish to grant access to folder
- Choose Check names to verify it is the correct person, then select OK
- Check off Modify to allow the user to make changes in the folder, then select OK
- Select OK again to apply the changes
Folders created within the Shared Project folder will not become visible to users that you share them with in their own department's MHCDrive Shared Project folder.
Pass along the exact file path to any folders in "Shared Projects" so that the users you've added will be able to find them. Users may want to
save a mapped drive to that location in order to be able to find it again.
