Understanding departmental printing/copying for student workers

Overview

Shared office computers meant for student worker use are set up so that student workers log in with their own MHC Account credentials. This is an important security measure and means that printing works a little differently for student workers who need to print on behalf of their department(s). 

LITS has set up special processes to accommodate student worker printing and copying to ensure that the department is charged rather than the student directly. 

 

Printing

In order for student workers to print without having those printing jobs be charged to their student printing account, student workers need to print from shared office computers that are set up for their use.  There is no way for student workers to print from personal computers on behalf of their department(s).

LITS sets up dedicated printer queues on shared office computers for student worker use that charge print jobs to their specific department.  These print queues must be used in order for the department to be charged rather than the student. 

The dedicated print queues are named with the following naming convention: location-mfd-deptstu. (e.g. li438-mfd-litsstu or dw208-mfd-wclstu.)

If the computer and workers need to be able to charge to multiple different departments, then LITS will set up a separate queue for each department.  

These dedicated print queues are specially set up by LITS and cannot be installed by student workers or non-LITS staff by any method including our regular printer installation instructions.

If a normal, regular printing queue is used on one of these computers, then whichever student worker is logged into the computer when the print job is sent would be charged out of their own printing funds. If there were no remaining LITS Lira printing funds left, then the student's MHCXpress account would be charged.  

If print jobs are sent incorrectly and need to be refunded from a student's account, have them follow these instructions.

Making copies

If your department's MFD is in a secure location (attended during the day by professional staff and behind locked doors in the evening and nights), then normally LITS sets up a "guest" button on the copier. This enables student workers to select the guest button and then whichever department is associated with that MFD will be charged for copies made while using the guest account.

In the past, LITS has been able to offer guest and student worker "copy cards." However, due to modern security requirements, that method is no longer available.  

If your department's MFD is not in a secure location or if your student workers need to be able to charge copy jobs to different departments, then LITS creates student worker credentials for each department that student workers can enter on the MFD's front panel to get to the copy functions.
